At times, users may need to change the Patient Manager for a Patient Group or the patients in a Patient Group.
When using Patient Groups, it is important to understand that making changes in the Patient Group setup may have effects beyond the Patient Group members.
Updating the Patient Group Manager(s)
If a Patient Group Manager is removed from a Patient Group, they will no longer receive alerts / notifications for any patients in the Patient Group.
A Patient Group can have multiple Patient Group Managers. However, there must always be at least 1 Patient Group Manager. If a Patient Group does not have at least 1 Patient Manager, no one will receive alerts / notifications.
Adding a Patient Group Manager
To add an additional Patient Group Manager, on the Dashboards under Group Management, click Patient Groups.
On the Patient Groups page, click the name of the Patient Group.
Click Add a Manager.
Search for the new Patient Group Manager by entering their email address in the Search window. Click the user's name to add them as a Patient Group Manager.
To add additional Patient Group Managers, repeat the steps, if needed.
Click Close. The updated Patient Group Manager list will appear on the right side of the page.
Removing a Patient Group Manager
To remove a Patient Group Manager, on the Dashboards under Group Management, click Patient Groups.
On the Patient Groups page, click the name of the Patient Group.
A list of current Patient Group Managers will appear on the right side of the page.
Click the X to the right of the appropriate person's name.
On the Remove manager confirmation window, click OK to remove the user as a Patient Group Manager. Click Cancel to keep the user as a Patient Group Manager and return to the Patient Groups page.
Repeat the steps, if needed.
A Patient Group must have at least Patient Group Manager.
Changing the Patient Group for a Patient
If a patient is moved to a new Patient Group and they have a current Care Pathway in which the Patient Group is an Actor, the patient's Care Pathway must be updated to include the new Patient Group's name as an Actor. Also, remove the out-of-date Patient Group as an Actor.
If a patient needs to be moved to another Patient Group, on the Dashboards under Patient Management, click Patients.
On the Patients page, find the patient's name in the list. Use the search bar or filters, as needed.
To the right of the patient's name, click the 3 dots. On the 3-dot menu, click Edit.
On the Edit Patient Info window, scroll down to the Health Info section. Click the dropdown menu next to Patient Group.
On the dropdown list, check and / or uncheck the Patient Group(s) in the list to update the Patient Group(s) in which the patient belongs. Click Save to update the Patient Group(s).
If the patient has one or more active Care Pathways, the Care Pathway(s) must be updated to include the new Patient Group.
On the Dashboards, go to the Patient Overview page. This page can be accessed via the 3-dot menu on the Patients page or by clicking the patient's name on the Health Overview page.
On the Patient Overview page, click the Pathway tab. On the Pathway tab, find an active Care Pathway on the left side of the window under Ongoing pathways. Click the Care Pathway name.
Click Edit Pathway on the right side of the window.
On the Start a new pathway window under Clinician, click the Patient Group Actors dropdown list. Change the out-of-date Patient Group to the new Patient Group's name.
Please note, the out-of-date Patient Group name will appear as "Inaccessible Group (xxxxxxxxx)", where x represents a series of alphanumeric characters.
Click Save to update the Care Pathway.
If the patient has multiple active Care Pathways, these steps must be repeated for each active Care Pathway.
If the Patient Group is not updated in the Care Pathway, no one will receive any alerts or notifications for the patient.
Patient Groups and Coverage
If a clinician is providing coverage for a Patient Group Manager, the clinician should be added to the Patient Group Manager's Patient Group as a new Patient Group Manager.
If, instead, patients are moved from the current Patient Group Manager's Patient Group to the covering clinician's Patient Group, the Care Pathway(s) for each patient will need to be updated to include the clinician's Patient Group as an Actor. When the coverage ends, the Care Pathway(s) for each patient will need to be updated again to remove the covering clinician's Patient Group.
Example scenario where Covering Clinician is added as a new Patient Group Manager:
Clinician A is the Patient Group Manager for Patient Group A. Clinician A is going on vacation next week and Clinician B is providing coverage.
Clinician B is the Patient Group Manager for Patient Group B.

To set up Clinician B to cover Clinician A, on the Dashboards under Group Management, click Patient Groups.
On the Patient Groups page, find Patient Group A in the list on the left side of the window. Click Patient Group A.
Patient Group A's list of Patient Group Managers will appear on the right side of the window.
Click Add a Manager at the bottom of the window.
On the Search window, enter Clinician B's email address. Click Clinician B's name when it appears below the search field. Click Close.
Clinician B's name will now appear under the list of Patient Group Managers for Patient Group A.

With this setup, Clinician B will receive any alerts / notifications for all of the patients in Patient Group A.
Clinician B will continue to receive the alerts / notifications for Patient Group B.
Clinician A will still receive the alerts / notifications for a patient in Patient Group A; however, when Clinician B clears an alert, the alert will also disappear for Clinician A.
When Clinician A returns from vacation, remove Clinician B from the Patient Group Manager's list for Patient Group A.
With Clinician B removed as a Patient Group Manager for Patient Group A, they will no longer receive any alerts for Patient Group A.
