How to Discharge a User Who Has a Kit

The Kit Retrieval Process has several steps that need to be done in a specific order so that Kit Notes can continue to be shared throughout the Kit Retrieval Process.

When discharging a patient who has an aTouchAway kit, it is important that these steps are followed to allow for communication between clinicians and Logistics.

Step 1: Stop any ongoing Care Pathways (Workflows).

Using either the Dashboards or App, stop any ongoing Care Pathways.  

Step 2: Change the Patient State to Discharged.

On the Dashboards under User Management, click on Patients

On the Patients page, click the checkbox to the left of the patient's name

Click the pencil that appears next to the current Patient State.

On the Change Patient State Menu, choose Discharged.

Step 3: Initiate the Kit Retrieval Process.

On the Patients page, click the 3-dot menu to the right of the patient's name.

On the menu, select Retrieve Kit.

The Kit State will change to Return Prep.

Logistics will arrange an offboarding call.  They will provide instructions regarding packing up the kit. A courier pick up date and window of time will be decided upon for a contactless retrieval of the kit. 

Once the offboarding call has taken place, the Kit State will be switched to Returning, and then the Kit State will disappear once the kit is received in the warehouse.

Step 4: Wait for the retrieval process to be completed.

During the Kit Retrieval Process, the Kit State will move through the Return Prep and Returning states.

Throughout these states, Logistics may need to contact the clinician.  If the clinician is removed as the Patient Manager, they will no longer see Kit Notes.  For more information on Kit Notes, visit: https://info.aetonix.com/sending-receiving-notes-for-kit-management

To maintain access to Kit Notes, do not change the Patient State to Inactive until the Kit State has disappeared (after the Returning Kit State).

Step 5: Change the Patient State to Inactive.

Once the Kit State is listed is blank (no state shown) on the Patients page, change the Patient State to Inactive.

In the Inactive Warning pop-up window, confirm the options and click Deactivate to finish. 

  • If Remove Managers is checked, the Stop Workflow option is selected automatically. 
  • Checking Remove Contacts is recommended.
  • If Stop Workflows is selected, only the workflows stop, and managers will continue to have access.
    • Only select this option when the patient is inactive because of a hospital admission or vacation. For these cases, you will need to put the patient back to Active Care and re-start their pathway when they return.
